Create an approved reference

Record the product ID, selected option, quoted selling unit, dimensions, color, stated material and included components. Keep approval photographs with a ruler and consistent lighting; retain an approved physical reference when one is available. For peonies, distinguish the 8-peony, 16-peony and 3-piece options and record that no vase is included. For the orchid, include the ceramic planter in the contents check. Do not use a styled photograph alone as the acceptance standard.

For material terminology, read silk vs. real-touch artificial flowers and verify the construction of the exact item.

Review the details that affect use

Use the same sequence for each selected inspection unit and record pass, concern or not applicable. Check petals and leaves for tears, marks, finish differences and visible adhesive; inspect flower-head and leaf connections under the agreed handling method. Measure the dimensions actually stated for the chosen option. For example, check the orchid's 28-inch total height including its pot; do not invent a rose stem-length tolerance where no length has been agreed.

  • Appearance: compare color, bloom shape and foliage density with the approved reference under consistent light.
  • Contents: count the pieces for the exact option; keep stems, bouquets, garlands and panel packs as separate units.
  • Construction: record loose heads, exposed wire, sharp edges, damaged stems or cracked ceramic parts.
  • Fit and handling: check the agreed dimensions, shaping, vessel stability or panel connections as applicable.
  • Packing: check protection, item identification, carton marks and quantities against the packing list.

Agree any inspection before ordering

If you require pre-shipment inspection, agree access, timing, the number of cartons and units to inspect, defect definitions, measurement methods and who makes the acceptance decision. Record what happens when an item fails: review, correction, reinspection or another agreed action. Share any required fire, UV or other performance test method before ordering, and request documentation for the exact item and configuration. This checklist does not establish that testing or certification has been completed.

Include carton protection and receiving checks from the shipping and packaging checklist in the inspection plan.

Keep a practical receiving record

Before distributing stock, record the arrival date, order reference, carton count and visible carton condition. Count against the packing list and log the selected inspection units. For an issue, record the product option, carton identification, affected quantity and clear overview and detail photographs. Retain relevant packaging and keep affected goods identifiable. Use the agreed order terms for reporting deadlines, investigation and remedies.
